What information do we collect?
During the application process, we process person-related data. The categories of personal data include, in particular the following:
Data collected directly from you:
- Your identifiers (e.g. first name, surname, name affixes, date of birth, signature)
- Application/ profession and education information (e.g. CV, job history, degrees, certificates)
- contact data (e.g. private address, telephone number, E-Mail address)
- protected information - data you submit voluntarily and which gives us the possibility for diversity monitoring (e.g. application picture, gender, ethnicity, disabilities)
Data collected from other sources:
In addition we may also process career-related information made publicly available by you or other sources, such as:
- Profession and education information (e.g. job and education history obtained from publicly available registers or databases, former employers &/or educational institutions (as allowed by applicable laws))
- Publicly available information - from professional social media networks or websites, incl. information you voluntarily share (e.g. when applying through LinkedIn, such as contact data, career path, network incl. contacts, media content such as photos, articles, links to portfolios, activities from the platform such as comments, approvals, shared content)
Automated data collection:
Softgarden may collect files for operation and maintenance purposes that record the interaction taking place via this system (system logs), or use other personal data (e.g. IP address) for this purpose.
When you access our career website, your Internet browser automatically transmits data for technical reasons. The following data is stored separately from other data that you may transmit:
- Date and time of access
- Type and version of browser
- User operating system
- Amount of send data
- IP address
This data is processed exclusively for technical reasons and for the purpose of providing the software. This data cannot be assigned to a person. The legal basis is Art. 6 para. 1 p. 1 lit. f DSGVO.
How and why we use your data?
The personal information that AAI collects from you and that you provide to AAI as part of the application process is processed by a German-based recruiting tool called softgarden e-Recruiting GmbH. Purpose of data collection
We process your personal data in compliance with the EU general Data Protection Regulation (GDPR), the German Federal Data Protection Act (BDSG) and all other applicable laws.The collection and processing of your personal application data is performed solely for the purpose of filling positions within our company. Therefore, the legal basis for the processing is the contractual relationship and its preparation, Art. 6(1) b) GDPR, §26 Para.1 BDSG.
During the recruiting of potential candidates and new employees for our company, if we use data from your user profile on publicly accessible professional or expert platforms and networks, we do this based on our justifiable interest in accordance with Art. 6 (1) f) GDPR in finding a suitable candidate. If we retain your application data for a future position in our company after thecompletion of the application process, this is based solely on your express permission in accordance with Art. 6 (1) a) GDPR.
Do we forward or disclose your data?
Generally, your data is forwarded only to those company departments responsible for the specific application process, such as the Human Resources department as well as the respective department in which the position is to be filled. Your application data is on principle not forwarded to any third parties beyond this. One exception is the involvement of third parties such as head-hunters contracted by us or the applicant to fill a vacancy and a coding test provider.
On principle, your data is not transferred to countries outside the EU (so-called “third countries”). However, we use an international provider for our e-mails, calendars, and documents and for the recruiting tool which implemented and followsuitable standards in order to guarantee a homogeneous data protection level.
How do we protect your data?
We use a combination of reasonable physical, administrative, and technological measures to protect your data from unauthorized access or malicious actions.
The access to your personal data is restricted to those employees, contractors, and agents who need to know this data to perform their assigned functions and develop or improve our products and services.

Do we work with automated decisions/ profiling?
We do not make recruiting decisions based solely on automated decision-making or profiling (as defined within the EU General Data Protection Regulation). During the application process it could be possible you have to carry out a coding test, that is machine analysed. This result is used together with the interview impressions for the final decision. In the case that we choose to rely solely on automated decision-making, we will apply the appropriate safeguards as may be required by applicable laws.
What are your rights?
In accordance with the statutory requirements, you have the right, at any time and with effect for the future, to retract the permission you have granted to us. You also have the right to notification, correction, objection, deletion, or restriction of the processing of your data that we have stored, as well as a right to data transferability. On principle, we delete your personal application data three months after the completion of the application process. This does not apply if statutory provisions oppose a deletion, if continued storage is required for evidence purposes, or if you have expressly agreed to a longer storage period.
Is AAI allowed to store your data for future job offers?
Should we not be able to offer you a job at the present time but nevertheless find your profile sufficiently promising to consider your application for future job offers, we will store your personal application data for 6 months if you expressly agree to this storage and usage. We are only allowed to keep your data with your voluntary and written confirmation.
How do we use cookies?
Cookies are used as part of your online application. Cookies are small text files that are sent from our web server to your PC. We may use “session ID cookies” to enable certain features of our service, to better understand how you interact with the service and to monitor aggregate usage and web traffic routing on the service.
